    Scanning Bureau / Mailroom Manager - West Midlands

    Mailroom / Scanning Bureau Business Manager

    Location: Birmingham

    Salary: £50,000 + car allowance + bonus

    Contract Type: Permanent

    Position Type: Full Time

    The Mailroom / Scanning Bureau Business Manager will be responsible for the entire delivery and development of the Document Services service centre. This will include the operational management of the inbound and outbound teams, supplier management, customer relationship management, financial ownership and the support and progression of the sales development.

    The Document Services Team Leader / Scanning Team Leader / Mailroom Manager / Post room manager / Scanning Bureau Manager will be experienced / have a great understanding of the document scanning, inbound & outbound mailing, indexing, preparation process.

    A background within Document Management would be hugely advantageous.

     

    Responsibilities of the Mailroom / Scanning Bureau Business Manager:

    • Excellent client relationships at all levels, are set and maintained by both self and team
    • Ensure that any client related concerns and queries are effectively followed up by both self and team
    • Ensure that Service Review best-practices are undertaken on a consistent and continual basis, across all accounts
    • Track and monitor work levels from key end-users and end-user departments, ensuring client work is sustained and developed
    • Complete regular gap analysis of client base, identifying customer areas for growth
    • Ensure that the Account Plan for each contract are kept up to date and progressed (sustain and growing revenues)
    • Responsibility for the on-boarding of new customer contracts
    • Support the Sales Manager in the pursuit of new business opportunities
    • Provide customer pricing quotes in a timely manner, and where appropriate negotiating job quotes directly with the end-user, within the boundaries of the company pricing policy
    • Ensure that all staff performance practices are undertaken: annual performance review, staff performance and development, training and succession planning
    • Ensure that all staff related administration is maintained in a prompt and accurate manner; i.e. holiday, absence and the WTD
    • Ensure that any temporary and permanent resource requirements are completed in a timely and effective manner
    • Support the cross training and skill gap management of current team
    • Ensure that the day to day delivery of all contract related services are undertaken in the most effective manner
    • To develop best practice and ensure that staff are trained accordingly
    • A demonstrable ability to deal with a wide range of conflicting demands
    • Establish and maintain excellent relationships with key suppliers
    • Raise POs as required and manage any related queries
    • Deal with any machine or software related service issue with either supply partners or internal support teams
    • Ensure compliance with quality procedures and ISO standards at all times
    • Take responsibility for annual budgeting and business planning processes
    • Take responsibility for the financial performance of accounts, monitoring sales and contribution targets throughout the year
    • Ensure that monthly MIRs are written and presented in a professional and timely manner, providing dialogue about financial, operational and people performance within each account
    • Overseeing the production of the monthly accounting and reporting for all accounts

     

    About the Mailroom / Scanning Bureau Business Manager:

    • An ability to analyse and manage financial information.
    • Experience of managing a team is essential.
    • An ability to negotiate tactfully, rationally, and persuasively.
    • Excellent written, presentation and oral ability
    • Leadership and project manager who works well at all levels.
    • A self-motivator with professional standards
    • Excellent organisation skills and able to manage a broad portfolio of activities.
    • A background within Document Management would be hugely advantageous.
    • An understanding of document scanning equipment such as Kodak, IBML, OPEX Scanners would be favoured.
    • Any knowledge of a EDRMS system
    • High level of personal resilience.
    • Experience of quality standards and have helped your employer maintain ISO9001 status (preferable).
    • Experience of maintaining or reaching externally audited management standards such as ISO27001 (security), GDPR etc.
    • A flexible approach to working hours.

     The Document Services Team Leader / Scanning Team Leader / Mailroom Manager / Post room manager / Scanning Bureau Manager will receive:

    • A Basic salary of £50,000
    • An annual performance-based bonus
    • 25 days holiday as standard + BH (option for purchase)
